Production, Collections, and Deposits Are Not the Same Number
Production records work, collections record cash received by the practice, and deposits record cash paid to you. Timing and contractual adjustments separate all three.
Use a three-stage bridge: clinical production becomes the contract-defined pay base, the pay base becomes estimated compensation, and payroll or payment processing becomes the deposit.
Production starts the activity record
Gross production can be adjusted for write-offs, discounts, remakes, refunds, and provider attribution before it becomes a contractual pay base.
Collections follow payment timing
Collections depend on patient and insurer payment. They may arrive in a later period than treatment and may be reduced by refunds or chargebacks.
Deposits reflect the payment system
The amount reaching your bank can include payroll deductions, taxes, benefits, prior-period adjustments, or payment timing. Compare it with the pay statement as well as the production report.
Practical example
A procedure produced in March may be collected in April and included in a May deposit, depending on the contract and payroll schedule. That sequence is why one month's three totals can differ without any one of them being wrong.
